SaksiNotes

Privacy Policy

Last updated: October 7, 2026

This privacy policy explains what SaksiNotes collects, where it goes, who receives it, how long it is kept, and the choices you have.

In short: your captures are stored on your phone and there is no SaksiNotes account. If you allow AI processing, the content you capture, or ask to be turned into a report, is sent through our server to Anthropic (Claude) and OpenAI (Whisper). You choose this in the app and can turn it off at any time. Our server does not keep your photos, documents or report text; it keeps voice transcripts for up to 72 hours, plus a device identifier with usage counters.

1. Who we are

SaksiNotes is operated by Wantya Najadi Sapardan, trading as WNS Studio, Indonesia. We are responsible for the data described in this policy. Contact: support@wns-studio.com.

2. What we collect

Content you capture: photos, voice recordings, typed notes, and files you attach (PDF, Word, Excel, and text documents). Optional information you add, such as captions, tags for people (name and role), report style selections, custom report instructions, and location data (if enabled).

Automatically generated content: AI-generated descriptions, tags, and transcripts of your photos, voice recordings, and attached files, and AI-generated reports based on your captured content.

Technical information: a random device identifier and usage counters (see Section 6). We do not use analytics, advertising or crash-reporting tools.

We do not collect your name, email address, or account information. No account or sign-up is required to use SaksiNotes. If you choose to connect Google Drive for backup, Google handles that sign-in (see Section 8).

3. Where your content is stored

Your captures are stored on your phone. If you enable Google Drive backup, copies are also stored in your own Google Drive. Our server does not store your photos, documents or report text (see Section 5 for exactly what it keeps).

4. What is sent, and to whom

When AI processing is on, the app sends content to our server, which passes it on to two third-party AI providers. Nothing is sent to these providers unless you have allowed AI processing in the app.

Your contentWhat is sentWho receives it
PhotosThe image, to describe it and read any text in it.Anthropic (Claude), through our server
Documents (PDF, Word, Excel, text)The text extracted from the file. For scanned PDFs with no readable text, page images (up to 10 pages).Anthropic (Claude), through our server
Voice recordingsThe audio, to turn it into text.OpenAI (Whisper), through our server
ReportsThe text of your notes, AI descriptions, voice transcripts, tags, place names, names of people you tag, your eventspace and project names, and any custom instructions you enter.Anthropic (Claude), through our server
Word, PowerPoint and Excel exportsYour photos, report text and captions go to our server, which builds the file and returns it. To write shorter photo captions, caption text may also be sent to Anthropic. Our server; Anthropic for caption text

Our server is hosted by Render in Singapore. Anthropic and OpenAI process data on their own servers, which may be in other countries, including the United States. By allowing AI processing you agree to this transfer.

5. What our server keeps

6. Device identifier and usage tracking

To apply free and paid plan usage limits fairly, to prevent abuse of the free tier, and to match a voice recording to its transcript, the app sends a random device identifier to our own server with each AI request. We store it with your usage counters (how many captures and reports your device has used in the current period, and your plan) for as long as the device is active.

The identifier is not your name, email address or an account. It is stored with voice transcripts for up to 72 hours, as described in Section 5. It is not stored with your photos, documents or report text.

7. What the AI providers keep

Anthropic and OpenAI keep the content they receive for up to 30 days to check for misuse, then delete it. They may keep it longer where the law requires, or where content is flagged for a policy violation. What they do with it is governed by their own terms:

If you turn AI processing off, we stop sending new content. Content already sent stays with the providers until their retention period ends.

8. Google Drive backup (optional)

If you enable backup, your data is backed up to your own Google Drive account, not to a server we operate. The app asks for access only to files it creates itself, using Google's "drive.file" permission, and cannot see, read, or modify any other files in your Drive. Backups include your captures and their location coordinates. During sign-in, the authorization code and later the refresh token pass through our server to Google; we do not store or log them. You can disconnect at any time from Settings or in your Google Account settings. (iCloud backup is planned for a future update and is not yet available.)

SaksiNotes's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

9. Location data

If you enable location capture, the app reads your location to label a capture with a place name, which helps generate more accurate reports (for example, referencing a site in a survey report). The exact coordinates go from your phone to your operating system's place-lookup service (Apple on iPhone; Google's service on most Android phones). They are not sent to our server or to the AI providers; only the resulting place name is included in reports. Coordinates are stored on your phone and are included in your own Google Drive backups. By default, precise coordinates are not included in exported documents (Word, Excel, PowerPoint); only a general place name is shown, unless you choose to enable precise location in exports.

10. What we don't do

11. Your choices

12. Legal basis and your rights

We process your data to provide the service you ask for and, for AI processing and the transfers described in this policy, on the basis of your consent. Under Indonesia's Personal Data Protection Law, and the GDPR if you are in the European Union, you may ask to access, correct or delete your data, and you may withdraw your consent at any time. Withdrawing consent does not affect processing that already took place.

13. Children's privacy

SaksiNotes is not directed at children under 13 (or the relevant minimum age in your jurisdiction), and we do not knowingly collect data from children.

14. Changes to this policy

We may update this policy as the app changes. We will update the "Last updated" date above, and if a change affects what is sent or kept, we will ask for your consent again in the app.
